* An extension fee will be charged if check-out time is exceeded.

* Early check-in and late check-out may be accommodated depending on availability. Please inquire in advance.

* Luggage storage is available before check-in and after check-out (prior arrangement required).

Check-in Procedure

Upon arrival, please proceed to the management building on the premises. Our staff will guide you through the process. After verifying your registration details, we will hand over the keys. If the management building is unattended, please call the contact number provided.

No Smoking Policy

Smoking is strictly prohibited in all indoor areas and throughout the premises. Only the designated smoking area (located near the management building) may be used.

* If smoking indoors is discovered, a cleaning and deodorizing fee (minimum ¥50,000) will be charged.

Quiet Hours

After 21:00, please keep noise to a minimum so as not to disturb other guests. We kindly ask for your consideration regarding the volume of music and conversations.

* Guests who cause significant disturbance to others may be asked to leave the premises.

Payment Methods

Accommodation fees are to be paid in advance via online payment through the booking site. On-site payments are accepted in cash only, and are limited to charges for optional services settled upon departure. Please note that credit cards are not accepted on-site.

Pet Policy

Pets are permitted only in designated dog-friendly cottages, and only for guests who agree to comply with the following rules. Please note that this is not a pet-dedicated facility.

* If any rules are found to be violated, the accommodation agreement will be terminated as a breach of contract, and guests will be asked to leave immediately.

Accepted Pets

  • - Dogs only (cats and other animals are not permitted)
  • - Small dogs (up to 10 kg): up to 2 per room
  • - Large dogs (over 10 kg): up to 1 per room
  • - The pet companion option must be selected at the time of booking

Health & Hygiene Requirements

The following documents may be requested upon check-in.

  • - Rabies vaccination certificate (must be valid)
  • - Combined vaccine certificate (5-way or higher, administered within the past year)
  • - Proof of flea and tick prevention treatment

* Please ensure that at least 2 weeks have passed since the most recent vaccination.

On-Site Rules

  • - Indoors: Pet diapers/belly bands must be worn at all times
  • - Outdoors: Leashes are required at all times
  • - If leaving your pet unattended in the villa, they must be placed in a crate/cage
  • - Please refrain from allowing your pet to approach other guests or staff without permission
  • - Please ensure your pet's barking does not disturb other guests

* In restricted areas (management building, dining area, etc.), pets must be kept in a crate or on a leash at all times.

Damage & Restoration

If any damage is caused by your pet to furniture, appliances, building interiors, or equipment, the full cost of repair, replacement, or cleaning will be charged to the guest.

Cleaning and restoration fees will also be charged if your pet soils the indoor areas.

Accommodation Terms

All accommodation agreements and related services at Hida Private Resort | Nature MIYAGAWA, operated by Radix Co., Ltd., are governed by the following terms and conditions.

Article 1 — Scope of Application

1. Accommodation agreements concluded between Radix Co., Ltd. (hereinafter "the Operator") and guests regarding Hida Private Resort | Nature MIYAGAWA (hereinafter "the Facility") shall be governed by these terms. Matters not stipulated herein shall be governed by applicable laws and generally established customs.

2. When the Operator agrees to special arrangements that do not conflict with laws or customs, such arrangements shall take precedence over the preceding paragraph.

Article 2 — Application for Accommodation

1. Applications for accommodation may be made within a period of up to 4 months prior to the desired stay date. The applicant shall provide the following information:

(1) Guest name

(2) Date of stay, duration, and estimated time of arrival

(3) Accommodation fee (based on rates listed on the Operator's website)

(4) Any other information deemed necessary by the Operator

2. If a guest requests an extension of stay during their accommodation, the Operator shall treat this as a new application made at the time of the request.

Article 3 — Formation of Accommodation Agreement

1. An accommodation agreement is formed when the Operator accepts the application described in the preceding article.

2. Upon formation of the agreement, the guest shall make full or partial advance payment of the accommodation fee by the method designated by the Operator.

3. If the deposit is not paid by the date designated by the Operator, the accommodation agreement shall become void.

Article 4 — Refusal of Accommodation

The Operator may decline to conclude an accommodation agreement in the following cases:

(1) The application does not conform to these terms

(2) All rooms are fully booked

(3) The prospective guest is deemed likely to act in violation of laws, public order, or good morals

(4) The prospective guest is identified as a member of an organized crime group or anti-social forces

(5) The prospective guest has previously caused significant disturbance to other guests

(6) The prospective guest is clearly identified as having a communicable disease

(7) Violent demands are made or unreasonable burdens are imposed in relation to the accommodation

(8) Accommodation cannot be provided due to natural disasters or other force majeure events

(9) The prospective guest is intoxicated or exhibits significantly abnormal behavior that may disturb other guests

(10) The prospective guest is deemed unable to pay the accommodation fee

Article 5 — Guest's Right to Cancel

1. The guest may cancel the accommodation agreement by notifying the Operator.

2. If the accommodation agreement is cancelled in whole or in part due to reasons attributable to the guest, the following cancellation fees shall apply:

5 days before the stay: 30% of accommodation fee

3 days before the stay: 50% of accommodation fee

1 day before the stay: 80% of accommodation fee

Day of arrival / No-show without notice: 100% of accommodation fee

3. If the guest has not arrived by 20:00 on the scheduled arrival date without prior notice (or 1 hour after the specified arrival time, if applicable), the Operator may treat the accommodation agreement as cancelled.

Article 6 — Operator's Right to Cancel

1. The Operator may cancel the accommodation agreement in the following cases:

(1) The guest is deemed likely to act, or has acted, in violation of laws, public order, or good morals in relation to the accommodation

(2) The guest is identified as a member of an organized crime group or anti-social forces

(3) The guest has caused significant disturbance to other guests

(4) The guest has or is suspected of having a communicable disease

(5) Violent demands are made or unreasonable burdens are imposed in relation to the accommodation

(6) Accommodation cannot be provided due to natural disasters or other force majeure events

(7) The guest smokes indoors or fails to comply with other prohibited acts set forth in the Operator's house rules

(8) The guest fails to comply with reasonable instructions or requests from the Operator

(9) The guest has violated the terms of the accommodation agreement

(10) The guest attempts to stay with more persons than the permitted occupancy without authorization, or excess occupancy is discovered

2. When the Operator cancels the accommodation agreement pursuant to the preceding paragraph, the guest will not be charged for services not yet provided.

Article 7 — Guest Registration

Guests are required to register the following information at the management building on the day of arrival:

(1) Guest's name, age, gender, and address

(2) For foreign nationals: nationality, passport number, port of entry, and date of entry into Japan

(3) Scheduled departure date and time

(4) Any other information deemed necessary by the Operator

Article 8 — Hours of Use

1. From check-in time (15:00) to check-out time (10:00).

2. For consecutive stays, the facility may be used throughout the day, except on the day of arrival and departure.

Article 9 — Compliance with House Rules

Guests shall comply with the Operator's house rules and these accommodation terms.

Article 10 — Use of Facilities

1. Guests shall use the facility and its equipment in the normal manner and at their own responsibility. Any act that diminishes the value of the property or constitutes dangerous use is prohibited.

2. Guests are responsible for locking the premises.

3. Please be especially quiet after 21:00.

4. If any malfunction is discovered, guests shall immediately notify the staff and discontinue use of the affected item.

5. The maximum occupancy must not be exceeded.

Article 11 — Accommodation with Pets

1. Guests staying in pet-friendly cottages must select the designated pet companion option and comply with the Facility's pet rules.

2. Only dogs are accepted (cats and other animals are not permitted). Small dogs (10 kg or under): up to 2 per room. Large dogs (over 10 kg): up to 1 per room.

3. A rabies vaccination certificate and combined vaccine certificate (5-way or higher), as well as proof of flea and tick prevention, are required.

4. If any damage to the facility, equipment, or furnishings is caused by a pet, the guest shall bear the full cost of repair, replacement, or cleaning. This includes restoration costs for any indoor soiling.

5. If the pet rules are found to be violated, the accommodation agreement will be terminated and the guest will be asked to leave immediately.

Article 12 — Payment of Fees

1. Accommodation fees are based on the prices listed on the Operator's website.

2. Payment shall, in principle, be made in advance via online payment through the booking site.

3. Even if a guest voluntarily chooses not to stay after the Facility has been made available, the accommodation fee will still be charged.

Article 13 — Liability of the Operator

1. The Operator shall compensate the guest for any damages incurred in the performance or non-performance of the accommodation agreement, provided that such damages are attributable to the Operator. This shall not apply where the damages are not attributable to the Operator.

2. The Operator's liability shall be limited to the amount of the base accommodation fee.

Article 14 — Inability to Provide Contracted Accommodation

1. When the Operator is unable to provide the contracted accommodation due to reasons attributable to the Operator, alternative accommodation shall be arranged for the guest.

2. If alternative arrangements cannot be made, compensation equivalent to the cancellation fee shall be paid to the guest.

Article 15 — Handling of Deposited Items

1. The Operator does not provide a service for safekeeping of items, cash, or valuables.

2. The Operator shall compensate for any loss or damage caused by its own intent or negligence.

Article 16 — Storage of Guest Luggage & Personal Belongings

1. If luggage arrives prior to the stay, it will be stored with prior agreement and handed over at check-in.

2. Items left behind after check-out will be stored for 7 days, after which they will be turned over to the nearest police station.

Article 17 — Parking Liability

The Operator provides parking space only and does not assume responsibility for the management of vehicles. However, the Operator shall compensate for damages caused by its own intent or negligence.

Article 18 — Liability of the Guest

If the Operator suffers damage due to the intent or negligence of a guest, the guest shall compensate the Operator for such damage.

Supplementary Provisions

These terms shall take effect from the date of enactment.
